Telephone Process for Voting by Phone
By way of a dedicated toll-free number, available 24/7, eligible members can cast their votes at their convenience, at work, home, or traveling in their car using our voice response system. This voter friendly process reduces your need for additional cost spent on return postage and on staff. We work with our clients to develop brief scripts instructing callers how to input their candidate selections, and to confirm them. We also supply the voice talent for the recordings.
After the election packet is received, each member is ready to vote by telephone. The Election packet contains Candidate Information, Personal Identification Number (Voter PIN), and instructions for all the voting methods being used in your election. |

Work with PIN, Database
After entering the last four digits of their Social Security number, or Member number, they are asked to enter the voter PIN number printed on the ballot. The authorized member would automatically be validated from the database supplied by the client. (Full Social Security numbers are never used.) If individuals have not previously voted by another method, they are allowed to make selections using candidate numbers from the election packet.
The system will then verbally repeat the selection and ask for confirmation, or they may recast their vote if they have made an error. If for any reason they do not complete the voting process or hang up - the vote does not register. The voter PIN would still be valid and the participant could still vote. Once voting is completed, the caller is informed that the vote has been registered and when and where election results are available. |

Security controls
Once the Voter PIN has been used, it cannot be used again. All three methods of voting - telephone, Internet and mail-in ballots - use the same database of eligible voters. The first ballot entered is the one that registers. Once voting takes place, the PIN is deactivated in the database, a control to prevent duplicate voting. We offer fail-proof security and total protection of your data.
We also provide dedicated toll-free customer service support for those who have problems voting or wish to request additional information.
